Administrative FAQ's
|
1. What is our current purchasing process in the department?
|
Our current purchasing process in the department stands as follows:
- We would like to label received packages by PI lab name not individual names and have a primary contact for package pick up.
- From 9-noon daily we will place all orders received with correct catalog information. All correct purchase requests will be processed within 24 hours of receipt.
- Submit the purchase order request form with accurate catalog information, signed by the PI, and submitted directly to Room 370 "purchasing box" in triplicate. (Forms available on the web or hard copy) We will return to the end user any orders that do not have correct information for ordering as incomplete information sometimes takes up to 30 minutes to clarify one order.
- Once the purchase is in the system, we will give the lab back a copy with the purchase date and PO number to confirm your order was placed.
- We have a requirement to have the packing slips marked as received and legibly signed and dated.
- We can establish your ability to order directly from VWR and we will be coordinating a lunch time training for you or your lab delegates.
- We will post and distribute websites and catalogs for UC preferred vendors that offer free shipping, same day service (if order is placed before 11:00 a.m. for most items), etc. to help you give us valid catalog numbers such as Viking. (www.viking.com) Viking is basically like any other order site. The pull-down menus are very easy to search for items. A Viking catalog is also on the shelf in 370. The university is also forming a similar agreement with Office Max.
- We will give you the UC Dell Premier customer information to get accurate computer quotes and an online link for less confusion when ordering computers.IT Support
